​At CulturaKids, we care deeply about creating a positive, reliable experience for every family. These simple guidelines help us ensure fairness, flexibility, and clear communication for everyone involved.
Free Consultation & Trials
​
We offer a free 15-minute consultation so you can share your goals, ask questions, and get a feel for how we work.Trial sessions are billed at the standard session rate but are a great way to see if it’s the right fit for your child and family.
Payments
Payments can be made per session or monthly, depending on what works best for your family.We currently accept bank transfer and or Bizum. Invoices or receipts are available upon request.
Booking & Cancellations
To keep things respectful and smooth for both families and CulturaKids team members, we ask that everyone communicate clearly and plan ahead whenever possible.

For families
Please book sessions at least 24 hours in advance.If you need to cancel or reschedule, we ask for at least 12 hours’ notice.Late cancellations (under 12 hours’ notice) or missed sessions may be charged at 50% of the session fee.

For tutors and nannies
If a CulturaKids tutor or nanny needs to cancel, we’ll let you know as soon as possible.If the cancellation is made with less than 12 hours’ notice and a suitable replacement isn’t available, the session will not be charged.The session will only be charged if it is rescheduled and successfully delivered at another time.We know that unexpected things happen, and we do our best to support flexibility on both sides.
Make-Up Sessions & Refunds
We aim to be flexible when life throws a curveball.

Make-up sessions
If a session is missed due to illness, emergency, or a properly canceled booking, we’ll do our best to offer a make-up session based on availability.Ideally, these should take place within 7 days of the original date, but we’ll always try to find a time that works for both sides.

Refunds
Sessions are generally non-refundable once booked.However, if CulturaKids cancels a session and no make-up or substitute can be arranged, a full refund will be offered.For prepaid sessions that cannot be used due to long-term changes, we’ll review the situation on a case-by-case basis to ensure fairness.

Behaviour & Safety

If your child isn’t feeling well, we kindly ask that you cancel or reschedule the session as early as possible.If your assigned tutor or nanny is unwell or unable to attend, we’ll contact you immediately to reschedule or offer a trusted replacement.
​We work in partnership with parents to ensure every session is positive, respectful, and safe.If a situation arises that affects the quality or safety of the session — such as disruptive behavior or safety concerns — we may pause the session and discuss next steps with you to find a solution together.
Communication
​We value open, honest communication and are always happy to talk.Families will receive regular updates about sessions, especially if parents aren’t present.Please don’t hesitate to get in touch at any time with questions, concerns, or feedback. We’re here to help.
Privacy & Data Policy
At CulturaKids, we treat your personal information with care and respect.

When you contact us, book a session, or sign up for a consultation, we may collect basic information such as your name, contact details, and your child’s age or learning needs. This helps us provide personalized and effective support.
How we use your data
We use your information only to provide the services you’ve requested, communicate with you, and ensure a smooth experience. We never sell or share your information with third parties unless it’s necessary to provide the service (like assigning a tutor).
Data security
Your data is stored securely and accessed only by the CulturaKids team.

We’ll always ask for written permission before sharing any photos or testimonials for promotional purposes.
